This AI Processing Notice explains how Sensiq ("we," "our," or "us") uses artificial intelligence technologies within the Sensiq recruitment platform. It sets out:
- the types of personal data processed by our AI systems,
- the legal basis for this processing,
- how we use data to develop and improve our models, and
- the safeguards we apply to protect individuals' rights.
This Notice supplements our Privacy Policy and Terms of Service.
Where there is any inconsistency relating solely to the handling of personal data for AI-related processing, this Notice will prevail.
Nothing in this Notice modifies or overrides any restrictions on use, confidentiality, or intellectual-property rights set out in the Terms of Service or any separate agreement.
2. How AI Is Used Within Sensiq
We use artificial intelligence to support and enhance recruitment workflows. Our AI capabilities include:
- CV/résumé parsing, enrichment, and structured extraction
- Automated and interactive chat-based interviews
- Candidate scoring, job-fit analysis, competency assessments, and insight generation
- Summaries, recommendations, and contextual assistance via Sensiq Assistant
- Detection of incomplete, inconsistent, or anomalous candidate information
- Improving system performance, fairness, and accuracy through model optimisation
AI is integrated into the platform solely for recruitment-related and operational purposes.
3. Categories of Data Processed by AI Systems
Our AI models may process the following categories of personal data:
3.1 Candidate Data
- CV/résumé content
- Employment history, education, skills
- Contact Information
- Cover letters, portfolios, supporting documents
- Interview transcripts and responses
- Job application metadata
- AI-generated scores and evaluations
3.2 Client User Data
- User inputs to Sensiq Assistant
- Job descriptions and organisational recruitment criteria
- Interaction logs and usage patterns (pseudonymised where possible)
3.3 Technical Data
- System performance logs
- Error reports
- Metadata required to maintain platform stability and security
Processing is limited to what is necessary for the provision and improvement of our services.
4. Legal Basis for AI Processing
Sensiq processes personal data through its AI systems under the lawful basis of legitimate interests, as permitted by the UK GDPR.
Our legitimate interests include:
- providing accurate, consistent, and reliable AI-driven screening tools;
- developing, maintaining, and improving our models and platform;
- ensuring system fairness and reducing bias;
- securing and monitoring the platform; and
- delivering insights essential to the recruitment process.
Where we rely on legitimate interests, we have conducted a Legitimate Interests Assessment (LIA) to ensure that our interests do not override the rights and freedoms of individuals.
5. Use of Personal Data for Model Improvement
To maintain and improve the performance, fairness, accuracy, and reliability of our AI systems, we may process candidate and client data for internal model-development purposes.
This processing may include identifiable personal data where necessary. We do not use personal data to train any external or third-party AI models.
5.1 When Identifiable Data May Be Used
Identifiable data is only used where:
- anonymisation would prevent the model from learning meaningful patterns,
- identifiable elements are required for linguistic, semantic, or contextual accuracy, or
- model optimisation requires end-to-end visibility of real-world recruitment data.
We ensure that the scope of identifiable processing is strictly limited and proportionate.
5.2 When Anonymisation Is Used
Where feasible, we use:
- pseudonymised data,
- masked data,
- aggregated datasets, or
- fully anonymised records.
Anonymised data is permanently stripped of personal identifiers and cannot be linked back to an individual.
All AI models, system behaviour, optimisation techniques, and resulting improvements remain the exclusive intellectual property of Sensiq.
Use of personal data for internal model improvement does not grant users, organisations, or candidates any rights to access, influence, inspect, reuse, or replicate such models, outputs, or system behaviour, except as expressly permitted under the Terms of Service.
6. Access to Personal Data for AI Development
A limited number of authorised Sensiq personnel may access candidate and client data strictly for:
- operational troubleshooting,
- system quality assurance,
- internal testing and validation,
- security monitoring,
- model training and evaluation, and
- ensuring compliance with AI governance requirements.
All access is:
- role-restricted,
- logged,
- monitored, and
- subject to confidentiality and data-protection obligations.
We never grant external parties access to identifiable candidate or client data for AI training purposes.
7. Safeguards and Risk Mitigation
To balance our legitimate interests with individual privacy expectations, we apply robust technical and organisational safeguards, including:
- encryption at rest and in transit
- secure cloud infrastructure with industry-standard protections
- strict access-control and identity-management policies
- continuous logging and audit trails
- model-development environments segregated from production systems
- internal data-minimisation and retention controls
- regular privacy, security, and fairness assessments
- documented Legitimates Interests Assessments (LIA) and Data Protection Impact Assessments (DPIA)
These safeguards are designed to minimise risks while enabling responsible AI deployment.
8. Individual Rights in Relation to AI Processing
Individuals retain all rights provided under the UK GDPR, including the right to:
- access their personal data,
- request correction or deletion,
- object to processing based on legitimate interests,
- request restriction of processing, and
- obtain information about automated decision-making.
An objection to AI-related processing will be evaluated in accordance with UK GDPR balancing tests. Where the objection is valid, we will cease such processing unless compelling legitimate grounds exist to continue.
9. Automated Decision-Making
Sensiq does not use AI to make legally binding or solely automated decisions that produce significant effects for candidates.
All AI outputs — including scores, insights, recommendations, and interview summaries — are advisory in nature and intended to support human decision-making only.
AI outputs, system behaviour, and scoring logic remain proprietary to Sensiq and may not be used to infer, replicate, or develop competing systems, as further detailed in our Terms of Service.
